Information on Handling the Coronavirus, Updated 4 December 2020

Studying and Working Safely in the Wintersemester 2020/21

Due to the current infection incidence also in Thuringia and the expansion of protective measures to contain the corona pandemic, which was decided yon 25 November, 2020 by the Federal Government and the heads of the Länder governments, teaching at the TU Ilmenau will be completely converted to purely digital offerings with effect from 30 November 2020 until initially 8 January 2021. Exceptions are internships, laboratory work and examinations, which require compulsory attendance. Students can use Moodle or, if applicable, other channels used for their particular course to find out about the specific procedure in their course.

At the same time, the university's infection protection concept (English version) was adapted to the new regulations.

At the beginning of January a decision will be made on whether to continue these measures or possibly return to hybrid operation at the university.

Furthermore, the TU Ilmenau will introduce a digital system for contact registration on the campus including the Mensa as of November 30, 2020. This should enable contact persons to be traced quickly in the event of an infection and reported to the public health department. For this purpose, the contact data of students, teachers and external persons (guests, service providers) will be recorded via QR codes by means of the "QRONITON" system, which is already used at other Thuringian universities.

We ask all members of the university to continue to pay attention to each other and to strictly observe the infection prevention measures.

4. Dezember 2020: Verkürzte Cafeteria-Öffnungszeiten

Die Cafeteria Mensa Ehrenberg verkürzt ab Montag, 7. Dezember, die Öffnungszeit und bietet dann für Bedienstete und Studierende der Hochschule Inhouseversorgung und Außer-Haus-Verkauf von 11.00 bis 19.30 Uhr an.

Die Cafeteria Mini ist seit 1. Dezember bis auf Weiteres geschlossen.

30 November 2020: Switch to Digital Teaching

30 November 2020: Digital system for contact tracing on campus

Starting November 30, 2020, the TU Ilmenau will introduce a digital system for contact registration on campus, including the cafeteria. This will enable contact persons to be traced quickly in case of infection and reported to the public health department. For this purpose, the contact data of students, teachers and external persons (guests, service providers) will be recorded using the "QRONITON" system via QR codes, which is already used at other Thuringian universities.

The contact tracing with QRONITON is done via QR-Codes, which are scanned with the smartphone in order to register the persons present in a room. For this purpose, signs with the QR code of the respective room were placed in all central lecture halls and teaching rooms next to the entrances and on the first unoccupied seats.

30 November 2020: Corona bridging loan can be applied for again with immediate effect / KfW student loan still interest-free until the end of 2021

From June to September 2020, students at state-recognized universities in Germany were able to apply for a bridging allowance in the form of a grant from the regional student union responsible for the region to alleviate pandemic-related emergencies. Due to current developments in the Corona pandemic, this aid has now been reinstated until the end of the winter semester. The application can be made immediately - for each month individually - via https://www.überbrückungshilfe-studierende.de/start. There, students will also find information about the further requirements for support as well as explanations about the application procedure. Eligible for application are students who are enrolled at a state or state-recognized university in Germany at the time of application, who live in Germany and who have not been on leave of absence. This applies to students from Germany and abroad, without age limit. A monthly grant of up to 500 euros will be awarded. The Studierendenwerk Thüringen is responsible for processing applications and is the contact person for questions at asb@stw-thueringen.de

The second component of the bridging loan for students, the KfW student loan, which is available throughout the program, has also been expanded: It is interest-free for the entire year 2021. Foreign students can still submit applications until March 2021. The proven application procedure applies. Which university facilities are closed and which have reopened? Which services can be used? (updated 30 November 2020)

Building access by members and relatives of the university, service providers / contractual partners / tenants:

Until March 31, 2021, access to the buildings of the TU Ilmenau is generally limited to members and relatives of the university such as employees and students (Section 21 ThürHG). The service or student ID (thoska +) is sufficient as proof of access authorization. At the building entrances, signs from the Division of Facilities and Operation will indicate this rule.

The entry ban does not apply to service providers (operating company, building operators, external companies, etc.), representatives of contractual partners and tenants who are treated like members of the university (see above). These must adhere to the specifications of this infection protection concept and, if necessary, industry-specific infection protection specifications.


Building access by external parties:

Access to buildings by external parties ("public traffic") is
1.) in specially designated areas (e.g. university library, state patent center PATON) or

2.) on special business occasions in agreement with or at the invitation of members of the university (e.g. examinations, doctoral defenses, job interviews, advice to prospective students)
exceptionally permitted. The head of the organizational unit according to No. 1 of this painting or the inviting party according to No. 2 is responsible for compliance with the special infection protection rules of the CorVO.

This includes in particular
- informing external parties about the infection control rules, compliance with distance regulations, preventing group formations in violation of distance regulations and the discussion of house bans in the event of violations (§ 4 CorVO),

- the recording of the contact details of external parties - i.e. of the surname and first name, home address or telephone number, date of the visit and the beginning and end of the respective presence (Section 3 (4) sentence 2 CorVO) - as well as the storage of this data for a period of four weeks, the protection of the data from access by third parties , the data transfer to the responsible authorities if required and the data protection-compliant deletion or destruction after the four-week period has expired (Section 3 (4) sentence 3 CorVO).


Behavior in buildings:

In buildings, it is urgently recommended to wear a mouth and nose protection (cf. § 6 Paragraph 4 CorVO).

This does not apply
- for an employee's own office or workplace (unless wearing a mouth and nose protection mask is required in accordance with Section 5, 3rd line),

- in lecture halls, seminar rooms and meeting rooms after reaching the seat,

- for lecturers during the course, provided that the minimum distance to other people according to No. 2, 1st coat can be adhered to.

The urgent recommendation to wear a mouth and nose protection is indicated at the building entrances by signs from the Division of Facilities and Operation.


University Library and University Archive

Since July 1, 2020, the University Library in the Leibniz Building has been open Monday to Friday from 9 a.m. to 6 p.m. and on Saturday from 9 a.m. to 5 p.m.

Access is only permitted to registered users with a user card (thoska). When entering and leaving the UB, the vending machines are to be used to enter contact data.

The reading stations have been reduced in order to guarantee the hygiene rules, but are available without time limit.

The multifunctional devices are also available again. Copies or scans from the UB's stock can still be ordered free of charge via the delivery service.

In the UB, a mouth-nose cover must be worn on all traffic areas and in common rooms (e.g. sanitary rooms). At the workplaces, the mouth-nose cover can be removed, provided that the minimum distance of 1.5 meters is observed.

The Curie library remains closed until further notice. The holdings of the Curie library can be ordered via the delivery service and can be picked up in the main library. Ordering from the Ilmenau Discovery Tool is particularly convenient.

The University Archive is open from July 1, 2020 Tuesday to Thursday 09:00 - 11:00 and 12:30 - 15:00.

Events such as training courses, guided tours or cultural events will not take place in the library until further notice. Some seminars are offered as online seminars.


University Computer Center

Since June 8, 2020, the UniRZ is again accessible for members of the university such as employees and students.

That means:

If you have concerns that can only be dealt with personally at the IT Service Desk on site at the UniRZ, this is possible Monday to Friday between 7:00 a.m. and 9:00 p.m., observing the hygiene regulations (mouth protection, keeping distance, etc.).

The IT Service Desk can still be contacted Monday to Friday from 7:00 a.m. to 9:00 p.m. by telephone +49 3677 69 1111 and by e-mail 1111@tu-ilmenau.de. The PC pools are accessible.

University Sports Center

The organized sports activities of the University Sports Center in presence are initially suspended until November 30, both indoors and outdoors.Participation in online offerings is possible.The use of the sports areas of the University Sports Center by participants is also initially prohibited until November 30.

PATON | Patent Center Thuringia


The PATON | Patent Center Thuringia is open to external persons again.

The requirements of the infection protection concept must be observed. The consulting services on patents and trademarks and the supervised research at PATON can therefore currently only be carried out for individuals by prior appointment. Likewise, advice on industrial property rights and on the evaluation of inventions is available to university members by individual appointment.

Pickup at the PATON on the agreed date is at the entrance door of the Leibniz Building, as access to the university buildings is restricted.

Mensa and Cafeterias

The Mensa Ehrenberg and the Röntgenbau Cafeteria offer in-house catering and out-of-house sales from 11 a.m. to 2 p.m. for university employees and students.

The Cafeteria Mensa Ehrenberg shortens the opening hours starting from Monday, 7 December, and then offers  in-house catering and out-of-house sales for employees and students of the university from 11 a.m. to 7.30 p.m..

The Cafeteria Mini will has been closed sind 1 December until further notice.

Only cashless payment with the thoska is possible. At the entrance the expulsion with the thoska will be checked.

In addition, the TU Ilmenau has introduced a digital system for contact registration on campus in order to quickly trace contact persons in case of infection and report them to the local public health department. For this purpose, the contact data of the Mensa visitors will  be recorded by QR code. What about events, meetings and sessions at TU Ilmenau? (updated 29 September 2020)

Meetings of the organs and committees of the TU Ilmenau (Presidential Board, Senate including Study and Research Committee, University Advisory Board, University Assembly, etc.) are generally held in attendance, taking into account the regulations of the infection protection concept. Participants of meetings have no right to individual online participation.

They may also take place as telephone or video conferences, unless the majority of the members entitled to vote object within a period to be set by the chairperson (see § 5 ThürCorPanG).

Major events remain prohibited.

What do I have to do if I have been abroad in the last two weeks? (updated 16 July 2020)

The regulations of the Free State of Thuringia apply for arriving and returning from abroad.

Please refer to the Fourth Thuringian Quarantine Ordinance (Article 2 of the Thuringian Ordinance to Further Improve the Measures Required to Contain the Spread of the Coronavirus SARS-CoV-2) for information on how to behave.

We ask all university members, for their own protection and for the protection of their fellow human beings, to take these instructions to go into domestic quarantine very seriously. Failure to comply with such instructions is a criminal offence and may be reported to the authorities, which may also be relevant to international students in terms of residence law.

What should I do if COVID-19 is suspected or diagnosed? (updated 29 September 2020)

The RKI has published a guide (German only) for citizens who suspect COVID-19.

Employees or students with recognizable symptoms of a COVID-19 disease (especially acute loss of the sense of taste or smell, shortness of breath or fever in connection with a newly occurring cough) are to be immediately excluded from employment at the university.

If a COVID-19 illness is confirmed, affected employees must inform the office immediately (superiors and the Division for Human Resources and Law/DPR: personal@tu-ilmenau.de or Tel. 03677-69-2542).

In order to support the tracing of contact persons, the department - primarily via the superior - immediately arranges for the determination of whether there are relevant contact persons in the work environment in accordance with the RKI's provisions on contact person tracing and, if necessary, initiates the resulting infection prevention measures.

If a COVID-19 illness is confirmed in a student, the student must immediately inform the Student's Office at the Academic Service Center/ASC (studentensekretariat@tu-ilmenau.de or Tel. 03677-69-2003 to 2005).

Persons who have had contact with a person infected with the coronavirus SARS-CoV-2 and are therefore considered to be suspected of infection within the meaning of the German Protection Against Infection Act must report this immediately to the health authority responsible for their place of residence or current whereabouts (see § 11 para. 1 CorVO). The health authority will decide on further protective measures.

What should I observe to avoid infection?

To prevent infection with the corona virus, the distance regulations described in the infection protection concept (minimum distance of 1.5 m between persons) and the general hygiene measures (regular use of the washing facilities with liquid soap, sufficient room ventilation, increased cleanliness in shared places, no sharing of personal utensils with other persons) must be observed in particular. In addition, observing the rules of hygiene when coughing and sneezing will protect others from infection.

The Psychological Contact Point is still available for employees and students with insecurities, in personal crisis situations or overload and offers advice by telephone.

FAQ Students - currently being revised

When does the winter semester 2020/21 begin and in what form will it take place? (updated on 6 October 2020)

The winter semester 2020/21 at TU Ilmenau has started on October 1, 2020 and ends on March 31, 2021.

The introductory week for the 1st semester takes place from October 5 to 10, 2020.

Lectures start on October 12, 2020 and end on February 5, 2021.

The examination period for the winter semester begins on February 8, 2020 and ends on March 31, 2021.

In the winter semester 2020/21, lectures will be held as face-to-face courses as far as possible and reasonable despite the corona pandemic. This applies in particular to courses in the first and third semesters of a Bachelor's program and the first semester of a Master's program.

The classroom courses must be held in compliance with the regulations of the infection protection concept (exclusion of sick or suspected sick participants and contact persons, minimum distance, room ventilation, etc.).  In the lecture halls and seminar rooms, only the designated seats may be occupied in order to ensure the required distance. Exceptionally, the number of marked seats in a room may be exceeded by up to 10%; in these cases, those participants who cannot comply with the distance requirement must wear a mouth-and-nose cover. Teachers monitor compliance with the requirements of the infection control concept and exercise house rules during the event. Means for hand disinfection are provided at the entrance to the buildings.

Events that cannot take place in attendance will be offered online, if possible. Further information can be found under the question "Where can I find more detailed information on the courses offered in the winter semester 2020/2021?

Examinations of the winter semester are usually held in attendance, in compliance with the infection protection concept.

Where can I find more information about the courses offered in the winter semester 2020/21?

Please pay continuous attention to your timetable, which you can access via Open Timetable. You can find instructions on how to use it here. There may be changes during the semester due to a pandemic.

Information on the individual e-learning offerings at TU Ilmenau will be successively made available on the websites of the respective departments:

Additional information on the individual subjects can be found in the module descriptions of the module catalog. As a rule, courses should be created in moodle. Depending on what the instructor has to offer, you will find information on the form of the course, dates, last-minute changes, as well as event documentation, including course recordings. To ensure that you receive all the information you need and the instructors have an overview of the participants, please register for all moodle courses you would like to attend. And please also sign out if you no longer wish to attend a particular course.

E-learning offers should always be recorded by the lecturers in order to be accessible to students at all times.

The lecturers have been informed that live streams should only be available at the times specified in the Open Timetable. Only in exceptional cases and by mutual agreement between teachers and students can they be offered at other times.

What regulations apply to attending lectures and staying and moving around on campus? (news on 9 October 2020)

In buildings and when entering the classrooms, a mouth-and-nose cover must be worn. You may take it off when you reach your own seat (except in cases where the minimum distance of 1.5m to the seat neighbor cannot be maintained - in which case a mouth-and-nose cover must also be worn during the course).

In all classrooms only the marked seats may be occupied.

In classrooms with free-standing tables/chairs, there are only chairs for the permissible seats to be occupied; all other chairs have been removed. The arrangement of the tables and chairs may not be changed in order to maintain the minimum distance; in particular, no tables or chairs may be exchanged between different rooms.

Exceptionally, the number of marked seats (in case of fixed seating) or available chairs (in case of freestanding tables/chairs) may be exceeded by up to 10% of this corona-conditioned, reduced seating capacity. In these cases, participants who cannot comply with the distance requirement must wear a mouth-and-nose cover.

Exceeding the 10% limit is not allowed, surplus participants must leave the room.

The instructor will monitor compliance with the requirements of the infection protection concept and exercise the householder's rights during the event.

You are obliged to follow the instructions of the instructor.

What regulations do apply to examinations in the winter semester 2020/21? (updated on 6 October 2020)

In order to ensure the necessary time and space, the examination period of the winter semester is extended over the entire lecture-free period (from 8 February 2021 to 31 March 2021). Examinations during this period are possible from Monday to Saturday from 7 a.m. to 9 p.m..  

Those responsible for modules can make changes to the form of final exams (written, oral, alternative, etc.) for the winter semester until 30 November 2020. The deadlines for the publication of the examination plan as well as for the registration for final examinations are still to be determined by the Study Committee. They will be announced afterwards.

All first-entry and revision deadlines ("Erstantritts- und Wiederholungsfristen") for the winter semester 2020/21 are suspended.
Detailed or more detailed regulations can be found in the Statutes on Special Provisions for Studies, Examination and Doctoral Studies due to the SARS-CoV-2 Pandemic 2020, corresponding applications on the university website for students ("Special Provisions").

Examinations are generally conducted in classroom form. In particular, the regulations of the  infection protection concept (exclusion of sick or suspected sick participants and contact persons, minimum distance, room ventilation, etc.) must be observed. In addition, the protective and hygienic measures for examinations must be observed (see question "What should I consider when taking an exam?").

Those responsible for modules can also specify forms for examinations that deviate from regular examinations, in particular online formats such as video telephone/video transmission, insofar as this is necessary due to new forms of teaching or prescribed measures in the context of the SARS-CoV-2 pandemic 2020.

Contact persons for questions regarding the current regulations for examinations are the examination offices of the respective departments.

What should I consider when taking an exam? (updated on 6 October 2020)

The period for the registration for final exams for the examination period from 8 February to 31 March 2021 still has to be determined by the study committee.Please note that you have to register for both exams and academic achievements. In order to comply with the university's infection protection concept and the regulations in the context of the pandemic, you are only entitled to take part in the final examination with prior registration.For your own safety, please bring the copy of "Info on registered examinations", which can be printed out at the terminal, with you to take the corresponding final performance.Since the identification check of the examinees is carried out before the entrance to the examination room, you should arrive well in advance (45 min. before the examination starts in case of major exams). Please also note that the examiners and the supervisors are required to implement the infection protection concept consistently, i.e. in particular to exclude employees or students with symptoms of COVID-19 diseases and with any cold symptoms or fever that have not been medically clarified (§ 3 Abs. 3 CorVO).

Furthermore, the following protective and hygienic measures must be observed during examinations:

  1. Mouth and nose protection
    In the examination building you have to wear a mouth and nose protector, which you bring with you. The mouth and nose protection is to be worn until you reach your allocated place in the examination room. During the examination you are free to take off the mouth and nose protection. The mouth and nose protection must be worn when visiting the toilet. The mouth and nose protection must be removed for identity verification.

  2. Behaviour in the building and examination room
    Waiting, entering and exiting the building should not result in a crowd of examinees. Hand disinfection with the provided disinfectants is mandatory before entering the examination room.
    After entering the examination room, go directly to a free, marked place and sit down. Only persons directly involved in the examination may stay in the room.

  3. Instructions and announcements
    Observe the posted signs/posters. Follow the instructions of the examiners and supervisors.

  4. Food and beverages
    Bringing drinks and packaged food is allowed.

  5. Writing materials and aids
    Please use your own document-proof writing material (ballpoint pen) and other approved aids.

  6. Keeping the distance rules
    Wherever possible and reasonable, a minimum distance of 1.50 m must be maintained in the examination rooms and waiting areas between all examinees and the examination supervisors and examiners.

  7. After the examination
    The examinees must leave the building/ premises immediately after the examination.

What regulations do currently apply to final theses? (new on 6 October 2020)

The  processing  period for written scientific work in the context of final theses, which are being prepared in the summer semester 2020 or winter semester 2020/21, is to be extended by two months upon application with justification of the prevention of processing due to imposed measures in the contextof the SARS-CoV-2 pandemic.

This extension does not count towards the regular extension period permitted under Section 24 PStO-AB.

How does the current situation affect the standard period of study? (updated on 6 October 2020)

In order to compensate for disadvantages caused by restrictions on the regular course of studies due to the SARS-CoV-2 pandemic, students who for certain reasons are unable to follow their studies without restrictions during this period of time have the opportunity, according to the "Statutes on Special Provisions for Studies, Examination and Doctoral Studies due to the SARS-CoV-2 Pandemic 2020" issued by the TU Ilmenau, to apply for the winter semester 2020/2021 not to be counted towards the regular period of study (§ 2).

Detailed regulations on the reasons for admission and the application procedure can be found in the statutes.

The application must be received by the ASC/Students' Secretariat no later than four weeks after the end of the 2020/2021 winter semester.

In the UB, a mouth-nose cover must be worn on all traffic areas and in common rooms (e.g. sanitary rooms). At the workplaces, the mouth-nose cover can be removed, provided that the minimum distance of 1.5 meters is observed.

The Curie library remains closed until further notice. The holdings of the Curie library can be ordered via the delivery service and can be picked up in the main library. Ordering from the Ilmenau Discovery Tool is particularly convenient.

Will I still receive BAföG? What further financial aid is available if I am in financial difficulties because of the Corona crisis? (updated 7 October 2020)

BAföG

Students who are dependent on benefits under BAföG should not suffer any financial disadvantages as a result of the COVID 19 pandemic.

An overview by the Federal Ministry of Education and Research (in German) contains the most important information for BAföG recipients.

Further information on the effects of the pandemic-related measures on BAföG may also be obtained from the BAföG Office of the Studierendenwerk Thüringen.

First semester students should apply for BAföG as soon as possible.

"Corona financial aid"

Since April, the Studierendenwerk has offered students who have got into financial difficulties through no fault of their own due to the Corona crisis uncomplicated and quick help: an application for an interest-free short loan of up to 800 euros. In the future, half of this amount will be taken over by the state of Thuringia in order to ease the financial burden on students. This means that of the maximum 800 euro loan, a maximum of 400 euro will have to be repaid. This conversion of the previous "social" loan into the "Corona financial aid" for students will also apply retroactively to all social loans concluded from the beginning of April. Applications must be made exclusively to asb@stw-thueringen.de. Please use the application form (English). Please sign it by hand. Interest-free loan from the KfW

The KfW also provides students with a temporary interest-free loan of up to 650 euros per month. The bridging loan can be applied for from May 8, 2020, both for new applicants and for students who have already been granted loans between May 2020 and March 2021. The group of foreign students who are currently particularly affected can apply from July 2020 to March 2021. How can I still validate and recharge my thoska card? (updated 7 October 2020)

Students can renew the thoska+ again at all validation terminals in the Mensa and in the university buildings (to which they have access during their studies).

Locations of the validation terminals are: Humboldtbau, UniRZ, Academic Service Center (ASC), Leibnizbau (university library UB).

In addition, students can recharge the thoska+ at all recharge terminals in university buildings (to which they have study-/ work-related access). Furthermore, the recharging terminals in the Mensa are currently available Monday to Friday during the cafeteria opening hours from 11 a.m. to 2 p.m.

Locations of the recharging terminals are: Humboldtbau, Mensa, Röntgenbau, Leibnizbau (university library UB).
