Continuing Education with Erasmus+

Possibilities: 

work shadowing | job shadowing | staff training weeks | study visits | participation in curriculum development | participation in workshops and seminars | language courses

You have the opportunity to get to know not only the Erasmus+ partner universities of TU Ilmenau (under construction!) but also other European universities. The program is also suitable for regular exchange formats with permanent partners.
The working language on site is usually English.

Any country in the European Commission (see countries under funding) can be selected as a destination country (except the country of origin) for further education and training stays. This makes it possible, for example, to take advantage of language course offers throughout Europe.

You can apply for this funding if you are employed by TU Ilmenau (student and research assistants are excluded).

First, please contact your contact person at the IO and submit an application for funding after you have received the link to the portal from the IO.

Repeated participation is possible, but we allow a waiting period of 2 years per person for one and the same stay. Stays at SUNRISE partner institutions are excluded, subject to available funds.

Duration of stays:

• at least 2 consecutive days of stay (working days) up to a maximum of 60 days (no vacation days, weekends, etc.)
• in case of combination with teaching lessons
• at least 4 teaching units (45 minutes each) per short stay or week - in case of longer stays it will be more accordingly

Who can participate?

University staff of the TU Ilmenau from all areas, e.g.

• presidential board
• International Office, Academic advising/administration
• Public Relations, Marketing, ZIB, Data Center, Human ressources and law
• Research/Transfer, Finance, Library
• Departments and secretariats, departments, faculties, etc.
• technical staff, etc.

Please plan your stays carefully. The following application deadlines must be met for Erasmus+ funding applications:

How to prepare (schedule):

1. Choose your suitable form of stay (teaching stay - STA or further education - STT). You can find initial information further up on this page or speak to your contact person at the IO.
2. STA teaching stays should be discussed with the relevant subject coordinators at TU Ilmenau (currently under construction!) and at the target institution. You should first discuss STT study visits with your supervisor. We will be happy to support you in selecting a suitable destination.
3. Now contact the International Office and explain your plans. Include a cost calculation and enquire about appropriate funding.
   Wait for the IO to approve possible funding and then submit your valid electronic business trip application and have it approved by all parties. Specify the cost center communicated by the IO and, if additional costs are expected, a co-financing source.
4. The IO will send you an e-mail with all the important information for your application in the funding database (Mobility Online). First register there or use your existing login. Follow the instructions in the application process and upload a pdf of your business trip application to the database. You will then receive an advance funding confirmation.
5. You will also receive a Mobility Agreement (MA) via the database. It contains details of your project and is a fundamental document in the Erasmus funding process. Once you have received the MA, check that everything is correct, complete the contents of your project day by day and sign the document (handwritten with a scan or digitally). The IO will be happy to carry out a final check for you.
   Send the document by e-mail to your contact partner at the line and also ask for a signature (with date and stamp). On receipt of the document, upload it back to the database.
   
   For STT stays: Register with the target institution at the same time.
6. You will receive a Grant Agreement, which regulates the funding details, after submitting the MA. It must be concluded BEFORE the mobility and is a further requirement for Erasmus+ funding. Sign the document (handwritten as a scan or digitally) and upload it back to the database.
   At the same time, you will receive a confirmation of stay. Take this with you to your place of stay and have the host institution countersign it with the date of the last day of support as well as a stamp and signature.
7. Now prepare your trip: Check health insurance, book flights and accommodation if necessary, have your participation confirmed, etc. Prepaid costs or invoices can be reimbursed in advance via an application for reimbursement up to 80% of the available funding.
8. Now start your trip. Take the certificate of participation with you, have it signed and stamped and signed with the date of the last funding day and then upload the document to the portal on your return.
9. At the end of your stay, you will receive an EU survey/questionnaire from the EU database. Answer it, save the file as a pdf and send the questionnaire back to the EU portal. Upload the pdf file to the Mobility online portal.
10. Create a travel expense report: attach all receipts and vouchers (including flight tickets) and forward the whole thing to the IO.
11. If all the necessary documents are available, the remaining funds can be settled once the travel expense report has been returned by the travel expense office. Please note that the process will take some time and the costs incurred can only be offset up to the amount incurred.

Please note: The Erasmus+ grant does not include any insurance cover. You must organize and finance adequate insurance cover (health, accident, liability) yourself. In this context, please refer to the information provided by the Travel Expenses Office in the Human Resources and Legal Affairs Department (Intranet) and to the Thuringian Travel Expenses Act $ 10 para. 10.1.1 i) and j) as well as para 10.1.2 e) and h).

Accommodation costs are calculated according to daily rates, i.e. arrival and departure days plus working days on site. Weekend days off, vacation days or sick days cannot be funded. Mobility for teaching purposes (STA) requires a teaching load of 8 teaching hours per full week (= 5 working days). If teaching activities and further education/training are combined, the teaching load is reduced to 4 hours/week.

Your travel costs are calculated using the EU Commission's Distance Calculators. The distance shown corresponds to the distance as the crow flies.
“Green travel” means more than 50% of the way travel by bus, train, car pool, bicycle etc.

Funding is provided according to the business trip report (can be found on the intranet) in the amount of the costs incurred up to a maximum of the funding rates.

Participation fees for staff weeks or course fees for language courses cannot be covered!

Special funding for inclusion

Participants with a certificate of severe disability (50 GdB or more) receive special financial support from the EU. The special application for this must be submitted to the NA DAAD at least 2 months before the start of the mobility. More information is available on the DAAD website.

The additional costs associated with a trip can be covered up to a maximum of €10,000.

Special funding for green travel

The EU supports the sustainability issue in its Erasmus programme by giving an increased rate to participants for using "green" means of travel. For the purposes of the programme, "green" means travel by train, by bus or carpooling (with at least 2 Erasmus beneficiaries at the same time). The travel distance must be covered by a "green" means of travel with more than 50% of the whole journey.

• Create a business trip report (see Intranet) and attach all receipts and vouchers. Forward these to the IO.
• As long as all documents have been received, you will be reimbursed for the costs incurred up to a maximum of the funding sum (travel costs + accommodation allowance).

You have the opportunity to get to know other partner universities, to gain interesting insights into the work processes of their international colleagues and, if necessary, to get ideas for their own work. In addition, the view of one's own work is sharpened when one understands how the partner works and acts.

Some of our partner universities organize Staff Training Weeks. The working language on site is usually English.

There must be a so-called Inter-Institutional Agreement (IIA) between the TU Ilmenau and the host university. This agreement specifies the number of persons as well as the duration of the stay and the subject of study/teaching.

Since 2016, TU Ilmenau has been participating in the Erasmus+ program worldwide. At the following partner universities you can plan a further education stay (e.g. job shadowing, language course, staff week, etc.) in consultation with the respective responsible colleagues.

You can apply for this funding if you are employed by TU Ilmenau (student and research assistants are excluded).
