Leave of absence

  • Students can be released from their studies for good reason.

    The prerequisite is the submission of a request for leave of absence from your studies along with documentation proving that you have a valid reason.

    The leave of absence from your studies is usually granted for one specific semester and applies to all degree programs in which you are enrolled at the same university. Leave of absence can generally be granted for two semesters per degree program.

    Please note the semester-related deadline for submitting an application for leave of absence. After the deadline, it is no longer possible to apply for a leave of absence.

    1. Confirmation of the reason for the leave of absence

Request procedure

  • Step 1 : Log in to Campus Portal

    Please log in to the Campus Portal with your Uni-Account in the role of student.

    Click on the Requests tile. Click on the button Leave of absence.
  • Step 2 : Create and submit request

    Fill out the request and upload the required documents. Don't forget to include the document with the confirmation of the reason for the leave of absence.

    Submit the request.
  • Step 3 : Track processing state

    Once the request has been submitted, it is in the processing state Request submitted online.

    Keep an eye on the processing state of your request.

    For example, if the processing state is Request sent back for processing, you can promptly read the comments of the clerk, check your request and submit it again.

    In the processing state Request processed, the staff of the Student Office have completed the processing of your request.
  • Step 4 : View approval state

    Once processing is complete, you can view the approval state.

    Approved or Rejected are then the possible state variants of the approval state.
  • Step 5 : Leave of absence certificate

    In approval state Approved the Student Office will provide you with a leave of absence certificate.

    Please log in to the Campus Portal with your Uni-Account in the role of student. After clicking on the Student Services tile, you will be offered the leave of absence certificate for download under Reports.

Semester contribution

  • Date of request

    Depending on when the request for leave of absence is submitted, an exemption or a refund of the semester contribution is possible.
  • Request during the re-registration period

    A request for a leave of absence submitted during the re-registration period and subsequently approved by the Student Office leads to exemption from the obligation to pay the contribution. That means you must explicitly state when you submit your request that you do not wish to pay.
  • Request after re-registration period and before start of leave semester

    A request for a leave of absence submitted after the re-registration period and before the start of the semester of leave and subsequently approved by the Student Office does not release the student from the obligation to pay the contribution.

Deutschland semester ticket

  • Date of request

    Depending on when the request for leave of absence is submitted, an exemption or a refund of the semester contribution is possible.
  • Request during the re-registration period

    If you submit an application for a leave of absence during the re-registration period but also wish to use the Deutschland semester ticket, please pay the full semester contribution.

    You may submit a request for a refund of the prorated portion of the semester contribution (contribution in addition to the Deutschland semester ticket).

Student Status

  • Uni-Account

    Your Uni-Account remains active during your leave of absence.

    This means that you can continue to use all the IT applications of the University Computer Center that you can access with your Uni-Account (Campus Portal, Web Mail, Moodle etc.).
  • Student ID thoska

    When a student on leave of absence has his card validated, the words “beurlaubt bis 31.03.2026.” are printed on it.

    Payments made with the card that evaluate card status (e.g., in the cafeteria) are charged at the guest rate.

    It is still possible to use thoska as a library card.
